Creating department-specific hotword sets

Guidelines to create hotword

Before you create hotwords, it is recommended to refer the following guidelines:

  • Length of a hotword should not exceed 100 characters.

  • Wildcards

    • Allowed wildcards: * (asterisk) and ? (question mark).

    • Recommended to use at least 3 characters before a wildcard (e.g., com*) to avoid slow searches.

  • Single and Multiple Words

    • Single word hotwords (with or without wildcard) should not be enclosed in quotes.

      For example, Test*, upgrade, overprice*, mis?sell

    • Multiple words must be enclosed in double quotes.

      For example, "search criteria", "search * * criteria", "te?st vas", "strategic invest*"

  • Allowed Special Characters

    • Allowed: * (asterisk), ? (question mark), apostrophe ('), and hyphen (-).

      For example, "front-running", "personal e-mail".

      Alternatively, you can replace the hyphen with a space: "front running", "personal e mail".

    • Not allowed: plus (+), underscore (_), comma (,), etc.

    Note:

    If a hotword contains unsupported characters (e.g., CBD_US, T.I.E. ratio), replace the special character with a space and enclose the phrase in quotes (e.g., "CBD US", "T I E ratio").

  • Negation

    • You must add a positive keyword before applying negation. Add the keyword AND before the first negation term, ensuring there is a space before and after AND.

      For example, "is trading behind" AND -"Check if the client is trading behind market",

      blink AND -blinking,

      carp* AND -"red carpet"-"carpet from market".

      Note:

      To avoid inconsistent search results and enhance accuracy when using multiple negation conditions, the hotword length can be extended to a maximum of 2,000 characters.

    • Negatives without positives are not allowed as hotwords. Instead, such cases should be handled through Veritas Information Classifier as exclusion policy.

  • Best practices for faster searches

    • Avoid creating multiple similar hotwords (e.g., zera, zerar, zerado, zeramos, zeraria). Instead, use fewer, smarter hotwords to optimize performance and capture a wider range of variations (e.g., zera*).

    • Avoid overly broad hotwords such as *mail or *word, as they might slow down searches.

    • Hotwords should have a fixed start and end whenever possible.

      For example, instead of using "* * pressure", you can use "avoid * pressure".

The following table shows how to create hotwords using exact words, phrases, and wildcards, along with what they match and do not match.

To create the department-specific hotword set
  1. In the left navigation pane, click Departments.
  2. Search for and select the department for which you want to add hotwords and hotword sets.

    Note:

    Insight Surveillance lists all departments. You can use the filtering options to search the required department. Options include filtering by department name, exception employees, and reviewers associated with the department.

  3. Navigate to the Hotwords tab, and then click New Hotword Set.

    The Create Hotword Set dialog box appears.

  4. In the Name and Description fields, type a unique name and an optional description for the hotword set.

    Note:

    The hotword set name can contain up to 50 characters. The description can contain up to 250 characters.

  5. Under the Hotwords section, click Select to search and choose hotwords from the available list.

    On the Hotwords dialog box, select the hotwords, and then click OK.

    To select multiple adjacent words, hold down the Shift key and click the first and the last words in the range. To select multiple, non-adjacent words, hold down the Ctrl key and click the required words.

  6. If the required hotword is not available, click Create Hotwords to add new hotwords.

    To add multiple hotwords simultaneously, press Enter after each word to separate the words with a new line character.

  7. Click OK to add the words.
  8. Click Save.
  9. (Optional) In the Hotword Set pane, select a hotword set to view included hotwords.
