Bulk review using Find Similar Items
The Find Similar Items action allows reviewers quickly filter and review emails that are similar to the selected item. This feature is designed to address scenarios where organizations receive large volumes of near-identical messages such as newsletters, broadcast emails, or market updates sent individually to many recipients. These messages often share the same author, subject, and date, resulting in thousands of nearly duplicate review items.
To filter bulk items using Find Similar Items
- Select a single email in the Review grid.
The option is disabled when multiple items are selected.
- Select Find Similar Items option as shown in sample image below.
Existing filters are cleared, and the system automatically applies the following filters under Advanced Filters:
Author: Matches the sender of the selected email.
Subject: Matches the subject line exactly.
Date: Applies a full-day window (00:00 to 23:59) based on the selected email's date.
The Review grid page displays items within the currently selected department that match all three filters.
- Increase the page size to perform bulk review actions efficiently.
Note:
For email items, the Review grid page size can be customized upon request (default: 100 items). To increase the Review grid page size - recommended up to a maximum of 1000 items - contact Arctera Technical Support.
- Use bulk review actions - such as marking items as Reviewed Relevant, Reviewed Irrelevant, assigning status, or escalating - on up to 1000 items at a time.

If you want to keep your current filter configuration, save it as a preset before using Find Similar Items.
