About Information Governance licensing
To use Information Governance functionality, you must have the corresponding license. Note that some of the functionality entitled also differs based on whether it is a perpetual or term (subscription) license. For more information, check the product use rights document on Arctera.com OR contact your licensing team.
Following are the licensing levels and corresponding functionality enabled:
Base - The base license enables you to access basic product features including viewing audit and scan data, reports, classifying content, and adding on-prem resources such as filers and SharePoint web applications.
Note:
For paths on generic devices, Information Governance considers the storage occupied by parent and child shares independently because Information Governance does not distinguish between the physical and the logical paths for generic devices.
Self-Service Portal - This license enables you to create workflow templates and workflows. This license is mandatory for taking action on remediation workflows and accessing the Self-Service Portal.
Information Governance cloud - The cloud license enables you to monitor, discover and scan data sources configured in your cloud environment. Information Governance supports cloud data sources like Box, SharePoint Online, OneDrive, and Amazon S3. The cloud license is based on the number cloud account users.
Note:
Amazon S3 functionality is only available via term or subscription license.
In case of absence or expiry of license, Information Governance continues to run in a restricted mode. Read the following points to understand the impact on the Management Console:
The Workspace, Policies, and Reports tab will be hidden. Only the Workflows and Settings tabs are visible. However, you will not be able to take any remediation actions from the Workflows > Audit page.
The options on the console to add new filers, shares, SharePoint web applications, SharePoint Online accounts, site collections, repositories, cloud storage sources, and directory services are disabled. However, you can edit properties of the resources that are already configured.
Auto-discovery does not result in discovering new shares, site collections, OneDrive user accounts, Amazon S3 user accounts, or equivalents that are created on storage device, filer, or web application.
Creation of workflow templates and workflows is disabled.
As per the state of your license, the following warnings and errors are displayed in the footer of the Management Console:
In case of a license in grace period, the footer shows an icon and message indicating that the license has expired, and it is running in the grace period. On clicking the footer, a detailed message indicating the number of grace days remaining appears on the screen. Additionally, a Information Governance event is raised daily at the WARNING level indicating that the license is in grace period.
After the grace period ends, a warning period will commence till the license completely expires.
In case of a license in warning period, Information Governance displays an icon and a message indicating that the license is in the warning period and is due to expire in a certain number of days. Click the footer icon or message to view the detailed message. Additionally, a Information Governance event is raised daily at the INFO level indicating that a warning policy is in effect for the license.
On license expiry, the footer displays the message indicating that the license has expired. On clicking the message, a detailed message is displayed indicating list of disabled features. Additionally, a Information Governance event is raised daily at the CRITICAL level stating that the license has expired.
In case of a storage limit-based license, if the storage monitored by Information Governance exceeds the licensed limit then the footer displays a warning message indicating that the storage monitored by Information Governance has exceeded the limit. However, Information Governance continues to function with uninterrupted access to all functionalities.
In case of multiple error conditions, the error message pop-up populates the messages based on their severity status.
