Advanced Supervision features
Advanced Supervision provides simple workflows to speed up the routine compliance search and review tasks. Its interface follows industry best practices and standards to provide an intuitive interaction.
The role a user is assigned determines the features they can access. By using Advanced Supervision-
can configure, manage and control the application workflow.
can monitor, review, keep the review pending, question, escalate, appraise, and comment on the items that they review manually or with the help of hotwords.
Advanced Supervision uses the Enterprise Vault.cloud platform to access:
Archived employee communication items.
Classification tags of communication items.
Inbound and outbound employee communications.
Details of users who can monitor and supervise communication items and provide information on demand.
Among the key features of Advanced Supervision are the following:
A system for defining the employees that are to be monitored and grouping them in an organizational structure that reflects the departments within the company. The messages of selected exception employees can be kept separate and reviewed by specially assigned reviewers.
The facility to capture a random sample of the items that have been sent to the Enterprise Vault archive of a journal mailbox.
Two types of random sampling are available:
Guaranteed sampling. The default sampling mode, where all items for every monitored employee are captured throughout the day. Then, after midnight, it picks a random sample from each employee's items and adds them to the review set. If you choose guaranteed sampling, you cannot cap the number of items that Advanced Supervision adds to the review set.
Statistical sampling. Advanced Supervision takes a random sample of the items that it has captured during the previous 24-hour period and adds them to the review set. This means that some employees may have fewer items captured than others.
An application that lets administrators configure Advanced Supervision and designated reviewers read and mark the captured items.
A secure SQL database that keeps information on all the monitored employees, captured items, and the review process that you have applied to the items.
Based on your roles and responsibilities, Advanced Supervision reviewers can:
Map organization structure in the form of departments and nested departments.
Add email addresses to an employee's properties in a department.
Move departments to other departments along with the associated employees.
Assign reviewers to departments.
Configure monitoring policies at a granular level to set the scope of reviews.
Maintain records that policies have been implemented and executed.
Define criteria for immediate or scheduled searches.
Assign the communication items of selected reviewers to exception reviewers.
Mark items as relevant or irrelevant. Advanced Supervision can learn from the reviewer's actions to sample or search for further items in a more focused way. For example, after a reviewer has marked a spam message or out-of-office reply as irrelevant, then, when Advanced Supervision detects other items with similar characteristics, it can automatically discard them or lower their priority level. Over time, fewer irrelevant items should appear in the review set. The intelligent review feature can be implemented on individual departments.
Apply an action status mark to more than one item or escalated item at a time.
During analysis, you can:
Choose your display preference for reading communication items.
Read and assign review status to captured items.
Comment on items.
View the history of items.
Print and download items.
After analysis, you can:
Generate reports for the collected information.
Export the items for offline reviews or for approved third-party use.
