Monitoring a status of active archives
The tab provides statistics about active archives, storage allocation, storage size, storage overage, and more. This statistical data can be exported for analysis or reporting purposes.
Each day, when the Archive dashboard is used to gather statistics for a specified duration, the application fetches only the initial call of the day to query Elasticsearch for data regarding each date-groupID-period combination. This data is then stored in a database. Subsequent calls for the same day retrieve data directly from the database, thereby enhancing the performance of the Archive Dashboard.
To monitor a status of active archives and export its statistical report
- In the left navigation pane, click Dashboard and select the Archive tab.
- In the top-right corner of the page, select the duration for which you want to view the archiving statistics.
By default, message statistics duration is set to All, and display the Overage details. Upon selecting other predefined durations, the application hides the Overage details.
The following statistical data is displayed numerically and graphically. To view the message count in numbers and the corresponding percentage ratio, hover over the colored area of the chart.

Message Statistics
Total Messages
Lets you view total number of messages that include emails, collaboration messages, and files available in active archives.
Active Archive
Lets you view total number of active archives.
Allocation(GB)
Lets you view the allocated storage size in gigabytes for storing messages.
Total Size
Lets you view total size of messages that include emails, collaboration messages, and files available in active archives.
Overage(GB)
Lets you view the additional storage usage in gigabytes for storing messages. However, this option is appears only when the message statistics duration is set to All.
Storage overage calculation:
The storage overage is calculated by adding the shared storage allocation and any additional storage purchased, then subtracting the storage usage.
[Storage overage = (Shared storage allocation + Additional storage purchased) - Storage usage]
Each licensed archive contributes 15GB to the Shared storage allocation.
Licensed archives consist of both prepaid storage and the additional storage acquired due to user overages.
Distribution By Attachment
Lets you know count of messages with and without attachments.
Count By Message Size
Lets you know number of messages grouped according to their size range.
Distribution By Message Format Type
Lets you know number of messages grouped according to their types such as Exchange, MS Teams, OneDrive, and so on.
Count By Direction Type
Lets you know number of messages grouped according to their direction types such as Inbound, Outbound, Internal, and so on.
Storage Consumption By Age
Lets you know the storage size (in GB) grouped by data age, such as storage older than one year, two years, and so on.
Active Archives Over 12 Months
Lets you know number of active archives over the past 12 months.
Note:
Data collection for the Active Archives Count metric started in June 2025. Therefore, fewer bars may appear in the chart initially. Over the period, as more data is collected, the chart will display a full set of 12 monthly bars for this metric.
Total Size Over 12 Months (in GB)
Lets you know total size over the past 12 months.
Top Mail Accounts (For Emails only)
Lets you know the top email accounts.
- Click the Export icon to export the report in Excel, PDF, CSV, or Word format.
