How to cancel items in an "archive pending" state in Enterprise Vault (EV) for Microsoft Exchange.

Problem

 In some instances it may be required to run the Cancel Operation against pending EV shortcuts in a mailbox.  This article explains how to perform this action. 

Solution

Warning: Canceling an 'archive pending' item may generate duplicates in the following scenario in versions prior to 9.0.3:

1. If the vault store is set to "After Backup".
2. If the item has been archived, indexed and is now awaiting backup.


Solution 1. From Microsoft Outlook on the client machine:

1a. Highlight the Enterprise Vault pending items and select from the Enterprise Vault toolbar | More Actions | Cancel Operation (Figure 1)

1b. Alternatively in case the Enterprise Vault Office Mail App is installed the Cancel can be selected from the mail app

Solution 2. Within the Mailbox Policy on the Enterprise Vault Server Administration Console (VAC)

Mailbox Policy

1. Open the VAC and browse to the Site > Policies > Exchange > Mailbox
2. Right-click on the Exchange Mailbox Policy and select Properties. Navigate to the Advanced Tab.
3. View the Archiving General settings and change the Pending Shortcut Timeout value to 0.
4. Select OK to save the policy changes and then run a Synchronization on the appropriate Mailbox Archiving task(s) to which the user is assigned.
5. Right-click the appropriate archiving task and select Run Now.
6. Select Report mode and choose the mailbox(es) to process.

Journaling Policy

1. Open the VAC and browse to the Site > Policies > Exchange > Journaling
2. Right-click on the Journaling Policy and select Properties. Navigate to the Advanced Tab.
3. View the Archiving General settings and change the Pending Shortcut Timeout value to 0.
4. Select OK to save the policy changes and then run a Synchronization on the appropriate Journaling Task.
5. In the task properties General tab check Run in report mode and select Apply.
6. Restart the Journaling Task and review the newly created report.

Once items have processed uncheck the Run in report mode setting and restart the task.
