Problem
Hotwords are predefined words or phrases that can be used in Searches. The management of Hotwords is simplified by the use of Hotword Sets. These Hotword Sets can be defined at the Application level for use in all Departments, or at the Department level for use by that specific Department. The user must have the Application-level Add Hotwords Permission to add global Hotwords (by default, users that have the App Rule Admin Role have this Permission). Similarly, the user must have the Department-level Add Hotwords Permission to add Department-specific Hotwords (by default, users that have the Rule Admin Role have this Permission).
If the Hotwords tab or widget is greyed out and cannot be accessed for one or more Departments but is visible and accessible in other Departments and at the Application level, this is likely due to the Department Property Can contain monitored employees being disabled.
Error Message
None.
Cause
If the Department Properties option Can contain monitored employees is disabled, this means Employees cannot be added to the Department as Monitored Employees. As such, Searches cannot be run in the Department, as Searches are dependent on Monitored Employees being listed. The inability to add Monitored Employees due to the option being disabled implies the inability to run Searches, therefore the Hotwords tab in the Department would not need to be used and is rendered as being greyed out.
Solution
To access the Hotwords Tab in the Department, check the Department Properties option Can contain monitored employees. If it is disabled for a business reason, then the Hotwords tab will remain inaccessible. If it can be enabled, then edit the Department's Properties to enable the Can contain monitored employees option and Save the change. The Hotwords tab should now be accessible.
