How to configure Shortcut Deletion in Enterprise Vault (EV)
Description
Shortcut Deletion performs the following:
- Deletes shortcuts that are older than the age specified on this page.
- Deletes orphaned shortcuts. These are shortcuts to items that have been deleted, typically by a user, from an archive.
- Shortcut Deletion takes place according to the settings defined in the Mailbox Policy.
Solution
To configure the settings and the schedule for shortcut deletion
- Delete shortcuts that are older than the age specified on this page.
- Right click on the Exchange Mailbox Policy and select Properties.
- Click on the Shortcut Deletion Tab.
- Select the check box for Delete Shortcuts in Folders.
Note: There is a warning that users will need to use search to find archived documents. Click Yes.
- Set the Number of Days, Weeks, Months, or Years at which the age of the Shortcuts will be deleted, I.e. select "1 day". This means shortcuts older than "1 day" will be deleted.
- Right click on the Exchange Mailbox Policy and select Properties.
- Deletes orphaned shortcuts.
- Select the check box for Delete Orphaned Shortcuts.
Note: EV deletes shortcuts in mailboxes if the corresponding archived item has either been deleted from the archive via Expiry or User intervention.

Run Synchronization for all mailboxes manually from the Properties of the archive task.
Note: Shortcut deletion occurs during the archive task run and can also be run manually by right-clicking the task and selecting Run Now and choosing the mode for
Shortcut Processing.
To force a deletion run, right click on the Archiving Task and select
Run Now with shortcuts processing option for desired mailboxes.
