Problem

What is the process if a mailbox that was Enterprise Vault (EV) enabled is no longer used or deleted?

Solution

If an EV Enabled Mailbox is no longer used or deleted, nothing happens automatically to the associated user's archive, it is not deleted when the account is removed.
 
There are however some options available:
 
  • If it is necessary to remove the entire archive, the administrator may delete the Archives from the Archives section in the Vault Administration Console (VAC).
     
  • If it is necessary to keep the information, the administrator may give access rights to the archive to another account.

 i. Once users have left the company, disable their accounts in the VAC and add the required permissions for other users who need to access these archives.

Note: If the Active Directory (AD) account of the primary user has already been deleted and an attempt is made to view the properties of the archive, this will display an unknown account in the billing section on the general page and in the permissions section.

 ii. Change the unknown account in the billing section to a valid domain account and then proceed to the permissions page.

Notes
 
a. When trying to change or remove the unknown account, this may generate an error message stating that "automatically applied permissions cannot be removed" or "please select a valid NT account". See Related Articles to resolve this.

c. The user's AD account must not be disabled as EV does not archive from disabled AD accounts.
 
Recommended procedure to archive entire mailbox
  1. Follow EV article 100016889 to archive the user's mailbox
  2. Disable the user in EV and AD
  3. Follow the steps mentioned at the beginning of this article if another user needs access to the archive or if the archive needs to be deleted.
