How to format an OPTICON file for use with a Load File in Clearwell

Description

An Opticon (OPT) file is used to provide links to image files that have associated entries in the accompanying Load File (DAT).  The opticon file contains seven fields per entry.  The table below explains each field that each entry will have.

Imported Number for the document page. This must match with a Imported Number in the load file.

Volume identifier (not used by eDiscovery)

Path to the image. The path must be either the relative path from the location of the Opticon file or the fully qualified path.

“Y” if the image is the first page of the document. The entry with a “Y” must have the Imported Number that matches with the document's BEGDOC.

 An example of the contents of an opticon file is listed below.

In the example above, there are 2 images that will be associated with 1 document that has multiple pages.  The table below explains each field in the entries above.

A document family consists of multiple pages of a single file.  As new document families are added, each row that starts a new document family will have a 'Y' in the fourth field.

The information provided is for example purposes.  OPT files can be large and contain more entries so this can be used as a guide for importing into Clearwell correctly.
