Problem

By default, Enterprise Vault (EV) is designed to archive 1000 messages per mailbox, per pass during a scheduled run.  In some cases, depending on mailbox size, schedule window, and policy settings, it may be necessary to adjust this when mailboxes continue to have a backlog of eligible messages.

Solution

This setting is configured on the settings tab of the Exchange Mailbox Archiving Task.

Note: The suggested maximum for this value is 3000.

Considerations with this setting:

Quota Based archiving
This is archiving the mailbox to a percentage of the limit set by the Exchange administrator in Active Directory (AD). During a quota based archiving, running the Archiving Task makes a single pass through all mailboxes. Therefore, by default, a maximum of only 1000 items will be archived in any one scheduled period regardless if the task is set to run 24/7.

Note: It might be more efficient to modify the archiving rules to remove large items first, rather than reduce quota usage by increasing the number of items archived.

Age Based archiving
This is the method of archiving the oldest items first, irrespective of the mailbox quota in AD. During an age based archiving run, the archive task will process 1000 items from each mailbox. If it is still in schedule, it will perform another pass of the mailboxes, archiving the items that conform to the archive policy. It will continue this approach until there are no more items to be archived from the mailboxes on the server or it reaches the end of the scheduled period.

Run Now
A 'run now' archiving run will only perform a single pass of the mailboxes.
