Problem

How Enterprise Vault works when the policy is set to use Quota based archiving.

Solution

The Enterprise Vault quota setting will detect these settings if they are set in the following priority.

1) No limit defined - This setting will not put any limits on the exchange mailbox storage sizes. If a quota is set for a specific percentage in the Enterprise Vault mailbox policy without selecting one of the 3 options noted above, quota based archiving has no functionality and will be ignored.

2) Send warning message at {specified size in KB} - If this setting is defined then Enterprise Vault will use the specified size as its quota. If the specified size is 200000KB (200mb), when the storage gets to 200MB it will send the message from Exchange informing the user that they are reaching the limit of the Exchange storage. Enterprise Vault will then archive all messages starting from the oldest first to get the mailbox to the specified quota size. (ie: quota size in the mailbox policy is defined as 40%, then Enterprise Vault will archive all messages until the size of 120MB is reached or 40% space available. 

3) Prohibit send at {specified size in KB} - If this setting is defined then Enterprise Vault will use the specified size as its quota. If the specified size is 200000KB (200mb), when the storage gets to 200MB it will prohibit messages from being sent from the user until the mailbox is under this limit. Enterprise Vault will then archive all messages starting from the oldest first to get the mailbox to the specified quota size. (ie: quota size in the mailbox policy is defined as 40%, then Enterprise Vault will archive all messages until the size of 120MB is reached or 40% space available.) This setting is used as Enterprise Vaults priority if both the warning and prohibit send is selected.

4) Prohibit send and receive at {specified size in KB} - If this setting is defined then Enterprise Vault will use the specified size as its quota. If the specified size is 200000KB (200mb), when the storage gets to 200MB it will prohibit messages from being sent or received to/from the user until the mailbox is under this limit. Enterprise Vault will then archive all messages starting from the oldest first to get the mailbox to the specified quota size. (ie: quota size in the mailbox policy is defined as 40%, then Enterprise Vault will archive all messages until the size of 120MB is reached or 40% space available.) This setting is used as Enterprise Vaults priority if any or all three of the limit selections are selected.

 

 

Applies To

Exchange 2007 storage limits can be set in 3 ways, as follows.

a) Send warning message at specified size.
b) Prohibit Send at a specified size.
c) Prohibit Send and Receive at a specified size.

These limits can be accessed from the Exchange Management console/server configuration/mailbox.

Right click on the desired database and select properties, then click the limits tab.
