Tips on freeing up disk space on the Veritas eDiscovery Platform appliance.

Problem

The eDiscovery Platform (eDP) relies on having a certain amount of free space on both the C: and D: drives.  The minimum suggested free space is 10GB on the C: drive and 500GB on the D: drive. If the eDP system runs out of space the issue may present itself in several different ways.

Note: In rare situations, if the eDP appliance runs out of disk space during processing, this can result in database integrity issues that cannot be corrected without restoring from a case backup. Because of this, it is recommended good practice to perform a case backup before any new data processing (this includes running an OCR job).

The eDiscovery Release Notes mentions the following: "Check the disk space in your database before you start case processing: If the database runs out of disk space during case processing, increase the disk space and either restart case processing or restore the case from a backup and resume processing."

Error Message

In the log files a message may appear like:  

Not enough free space available

or the user may encounter IE 404 error.  Or Ediscovery server out of disk space.

Solution

For the C: drive Start by doing typical Windows Maintenance.  

  1. Clear existing Window Problem Reports.
    Look in the following directories: (these are hidden folders)
    C:\ProgramData\Microsoft\Windows\WER\ReportQueue
    C:\Users\All Users\Microsoft\Windows\WER\ReportQueue


    To remove these files, go to Control Panel > System and Security > Action Center > Maintenance > View reliability history > View all problem reports and click Clear all problem reports. To prevent future problem reports, go to Control Panel > System and Security > Action Center > Maintenance > Settings > Change report settings for all users. These steps are also included in the eDiscovery Installation Guide.

    It is also recommended to disable Windows memory dump. To disable this, go to Control Panel > System and Security > System > Advance System Settings and click Settings. In section Startup and Recovery, under the Write debugging information drop-down menu select (none). These steps are also included in the eDiscovery Installation Guide.
  1. Run Windows Disk Cleanup tool (cleanmgr.exe).
    Look in the following directory: (this is a hidden folder)
    C:\MSOCache

    This directory contains temporary files left behind from the installation of Microsoft Office Note: Never delete the files in this folder by using Microsoft Windows Explorer.

    To clear the files in this directory, use the Windows Disk Cleanup tool. This tool (cleanmgr.exe) is not present by default in Window Server 2008 R2. Follow the steps here to install it. Once installed, launch the tool by running cleanmgr.exe from the command prompt. This tool enables the user to clean up various files, including Temporary Internet Files and the Recycle Bin. To clear the C:\MSOCache directory select Office Setup Files.
  1. Delete temporary Internet Cache (for each user account)
  1. Review the Users directory and clean items to help free up space.
  1. Using a third party tool like TreeSize can help find where the space is being taken up. 
  1. C:\CW may also contain a copy of eDP sample data that may no longer be needed
     

Here are some helpful hints to clear space off the D: drive

  1. From the eDP User interface navigate to the System > Jobs
    Set the settings to most inclusive and delete any old jobs that are complete and not needed any more.
  1. Move the backup location off to a network location. In order to move data use robocopy as described :

  1. If there are any old lingering versions of eDP under D:\CW\Vxx consider copying them off and deleting them as well. There is really no need to have them there as the new environment cannot be downgraded to an older version.
  1. Check if there are any legacy log ZIP files generated by the system located in folder "D:\CW\Vxx\scratch\uploader\esadb". These ZIP files are produced by the system to be uploaded when web access is not possible for the appliance and so may build up over time.
  1. If there are case sources on the D: drive that is not a best practice. Consider moving the sources off to a network location. Follow the process for moving the source off.

  1. A third party tool like TreeSize can help find where the space is being taken up. 
  1. Follow the typical Windows maintenance processes like deleting the recycle bin data from D:.
