Ability to exclude more than 5 blocks of text (disclaimers)

At present in a Clearwell case it is possible to specify up to 5 blocks of text to be excluded from indexing - this is useful to exclude for example email disclaimers or other standard text from the index.

We would like the ability to exclude more than 5 blocks of text (ideally unlimited).  I understand that there would be a performance impact to the processing however in certain situations the slower processing would be preferable to the large numbers of 'hits' than can occur if certain keywords are set by the opposing consul or court.

The use case, within our organisation, is that:

  • The organisation is a group of approx. 19 companies each with their own disclaimer
  • Each company may run differing versions of the disclaimer over time (for example changes to registered offices or some also include a statement about a promotion or award that they are trying to highlight).
  • Where an investigation involves more than one of our companies we quite quickly reach the existing limit of 5

The new capability could be implemented along the following lines:

  • Keep the existing format
  • In the case settings include a radio button or similiar to effectively 'switch on' or increase the number of permitted text blocks.  This could include a warning that processing time will be affected.

earlier versions of Clearwell did not have a limit on the number of disclaimers that we could use but we have not used this option for a while (even though this is a great feature).
